Veterinary Client Service RepresentativeFull-time: 36-40 hours per week, including a minimum of 2 Saturdays a month

About You
You’re a friendly, detail-oriented Veterinary Client Service Representative (CSR)/Veterinary Receptionist who enjoys helping clients and supporting a busy medical team. You communicate clearly, stay calm under pressure, and take pride in creating a welcoming front-desk experience. You’re comfortable juggling phone calls, appointment scheduling, check-in/check-out, and payment processing while keeping records accurate in practice management software.

Your Experience & Skills
• 1+ year experience in a veterinary clinic required
• Strong customer service skills (phone, email, and in-person), including handling sensitive or emotional situations with empathy
• Excellent communication, organization, and time-management skills; ability to multitask in a fast-paced environment
• Experience with appointment scheduling, multi-line phones, and high call volumes
• Comfortable learning and using practice management software and maintaining accurate client/patient records
• Cash handling and payment processing experience; attention to detail with invoices and financial information
• Team-first mindset with a friendly, professional, and dependable approach
Responsibilities:
- Answer multi-line phones; triage routine vs. urgent/emergency calls and route appropriately
- Schedule appointments and manage the daily calendar; confirm visits and communicate wait times and next steps
- Greet clients and patients; manage check-in/check-out, collect histories as directed, and support a smooth client flow
- Process payments and invoices; handle cash/credit transactions and maintain accurate financial records
- Communicate clearly between clients and the medical team, ensuring messages, estimates, and follow-up instructions are relayed accurately
- Maintain client/patient records in practice management software; scan/file documents and support general front-desk administration
- Provide a warm, professional, and compassionate client experience-even during busy periods and frequent interruptions
- Additional responsibilities as assigned
