Description
Emergency & Medical Specialty Veterinary Center (EMEVC) is looking to add a Veterinary Office Manager to our team-someone who is passionate about client service, team leadership, and creating a positive, efficient hospital environment. This is a dynamic leadership role focused on hospital operations, staff development, workflow coordination, and delivering an exceptional client and patient experience. You'll partner closely with hospital leadership while serving as a key resource and support system for both clients and team members.Eastern Maine Emergency Veterinary Clinic is an emergency clinic originally formed by local veterinarians in hopes of delivering prompt and conscientious emergency care for patients after hours, on weekends, and during holidays. We are fully equipped and provide state-of-the-art care. All of our doctors and technicians have training and experience in emergency care. Our hours of operation are Monday-Thursday 5:30pm-8:00am, Friday 5:30pm-Monday 8:00am (Open 24 hours on Saturday and Sunday).
Eastern Maine Emergency Veterinary Clinic is located in Holden, a welcoming community just outside of Bangor. Holden offers the perfect blend of small-town living and convenient access to the amenities of a larger city. Surrounded by Maine's natural beauty, the area is known for its nearby lakes, hiking trails, kayaking, fishing, and year-round outdoor recreation opportunities. Residents enjoy a quieter pace of life while being only minutes from Bangor's shopping, local breweries, restaurants, and entertainment. Bangor's historic downtown is full of boutiques, coffee shops, and award-winning dining, while the waterfront hosts major regional concerts and events throughout the year. Plus, Bar Harbor and the world-renowned Acadia National Park are just about an hour away, offering easy access to some of Maine's best coastal and outdoor adventures.

WHAT YOU'LL DO
- Lead and support client service representatives and front office team members in a collaborative, accountable environment
- Partner with hospital leadership to support daily hospital operations, staffing, scheduling, and workflow efficiency
- Foster a positive hospital culture centered around teamwork, communication, professionalism, and client service
- Oversee client flow to ensure clients and patients are assisted in a timely, compassionate, and professional manner
- Train, mentor, and onboard front office staff while supporting continued team development
- Support employee engagement, performance management, and policy adherence
- Monitor hospital operations including reports, invoicing, deposits, records management, and administrative processes
- Ensure accurate and compliant patient and client records are maintained
- Assist in resolving client concerns with professionalism and empathy
- Support OSHA and hospital safety compliance initiatives
- Identify opportunities to improve workflow, efficiency, communication, and overall hospital operations
- Participate in staff meetings and maintain clear communication across hospital teams

REQUIREMENTS
- Minimum of 3 years of experience in a veterinary hospital setting required
- Previous leadership or supervisory experience strongly preferred
- Strong communication, organizational, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced, high-acuity environment
- Experience with client relations, team development, and hospital operations
- Comfortable handling client concerns and supporting positive client experiences
- Proficiency with practice management systems and general computer skills
- Ability to work collaboratively with all levels of hospital staff
- College education preferred
- A team-first mindset with a focus on collaboration, accountability, and continuous improvement
